General Registration Terms and Conditions — Parents / Guardians

1. Purpose

These terms govern the registration of a child in activities offered by NeoAcademia Inc., NEQ 1178476967, domiciled at 2199 rue Kenneth-Patrick, Montréal (Québec) H4R 0M2 ("Neoacademia," "we"), including without limitation: Minecraft and LEGO City workshops, manga and drawing, LEGO challenges and space, origami, and sports and movement activities (pickleball, ping-pong, badminton, yoga, chess).

By completing registration, the parent or legal guardian (the "Parent") confirms having read, understood and accepted these terms in full.

2. Registration and Payment

2.1 Registration is confirmed only upon receipt of full payment and a duly completed registration form.

2.2 Spots are allocated in order of receipt of complete registrations.

2.3 Neoacademia reserves the right to cancel a workshop if the minimum number of participants is not reached. In such case, amounts paid are refunded in full.

3. Cancellation and Refunds

3.1 Cancellation by the Parent: the Parent may cancel the registration at any time by written notice sent to info@neoacademia.com, or by using the cancellation form attached hereto (Schedule A). Cancellation takes effect upon sending of the notice; for email, the sending timestamp governs.

3.1.1 If the notice is received before the first session, the amount paid is refunded in full.

3.1.2 If the notice is received after the program has started, Neoacademia refunds the price of sessions not yet held as of the date the notice is sent, less a penalty not exceeding the lesser of $50 or 10% of the price of those sessions.

3.1.3 The refund is issued within 10 days of the date the notice is sent, using the payment method used at registration.

3.2 No refund is granted for sessions missed by the participant, for any reason.

3.3 Cancellation by Neoacademia: if a session is cancelled by Neoacademia, it will be rescheduled or refunded pro rata, at our discretion.

3.4 School closures, severe weather, outages, strikes or any other circumstance beyond our control do not give rise to a refund, though we will make reasonable efforts to reschedule.

4. Health, Allergies and Medical Information

4.1 The Parent undertakes to disclose, at registration, any medical condition, allergy, physical limitation, learning or behavioural condition, medication or special need that may affect the child’s participation or safety.

4.2 The Parent undertakes to notify Neoacademia without delay of any change to this information during the program.

4.3 Failure to disclose this information engages the Parent's responsibility for consequences arising from the omission.

4.4 Our animators are not authorized to administer medication, with the exception of an epinephrine auto-injector in an emergency, and only where the Parent has made a prior written request.

5. Emergency Care Authorization

5.1 In a medical emergency, the Parent authorizes Neoacademia to call emergency services (911) and to have any care deemed necessary by qualified responders administered to the child.

5.2 The Parent will be notified as soon as possible.

5.3 Ambulance transport and medical care costs are the Parent's responsibility.

6. Acknowledgment of Inherent Risks

6.1 The Parent acknowledges that the activities offered — particularly sports and movement activities such as pickleball, ping-pong, badminton and yoga — carry inherent risks of injury, including falls, collisions, sprains, bruises and fractures.

6.2 The Parent acknowledges that construction and handling activities (LEGO, origami, drawing materials) carry minor risks, including cuts, pinching, and choking hazards from small pieces for younger participants.

6.3 The Parent acknowledges having been informed of these risks and consents to the child's participation.

6.4 This acknowledgment does not constitute a waiver of recourse. In accordance with article 1474 of the Civil Code of Québec, Neoacademia may not exclude or limit its liability for bodily or moral injury caused to another, and does not seek to do so.

7. Insurance

7.1 Neoacademia carries civil liability insurance. A certificate can be provided to the school on request.

7.2 This insurance is not participant accident insurance. It does not automatically cover injuries occurring without fault on our part.

7.3 The Parent is responsible for maintaining their own health, accident and home insurance coverage applicable to their child. We strongly recommend verifying this coverage before registering.

8. Personal Belongings, Equipment and Materials

8.1 Neoacademia assumes no responsibility for the loss, theft, breakage or damage of personal belongings, clothing, electronic devices, eyeglasses, jewellery, sports equipment or any other item brought by the participant.

8.2 We strongly recommend not bringing valuables to workshops.

8.3 Materials supplied by Neoacademia (LEGO sets, drawing supplies, sports equipment) remain our property. The participant must use them reasonably.

8.4 Where materials are broken or lost through the participant's intentional act or gross negligence, the Parent may be held responsible for replacement cost.

8.5 The limitation in section 8.1 does not apply in cases of intentional fault or gross fault by Neoacademia.

9. Conduct and Exclusion

9.1 The participant must respect animator instructions, other participants and the premises.

9.2 Neoacademia reserves the right to temporarily or permanently exclude any participant whose conduct compromises the safety, wellbeing or experience of others. In the event of permanent exclusion, sessions not yet held are refunded in accordance with section 3.1.2.

9.3 The Parent will be notified before any permanent exclusion, except in an emergency.

10. Arrival, Departure and Late Pickup

10.1 The Parent is responsible for the child's arrival and departure per arrangements agreed with the school.

10.2 Neoacademia releases the participant only to authorized persons identified on the registration form.

11. Photographs and Personal Information

11.1 Neoacademia may wish to photograph or film activities for promotional purposes.

11.2 No image identifying a participant will be published without the separate written consent of the Parent, in accordance with Law 25 (Act to modernize legislative provisions as regards the protection of personal information).

11.3 Consent may be withdrawn at any time by written notice.

11.4 Personal information collected is used exclusively for registration management, participant safety and program communications. It is neither sold nor disclosed to third parties, except as legally required.

11.5 The Parent may request access to or rectification of this information by writing to the person in charge of the protection of personal information at info@neoacademia.com.

12. Intellectual Property

12.1 Certain workshops reference universes, characters or brands belonging to third parties. Such references are made for pedagogical illustration. Neoacademia is not affiliated with any of these rights holders and claims no association with them.

13. Changes

13.1 Neoacademia reserves the right to modify the schedule, location, animator or content of a workshop. The Parent will be notified of any significant change.

13.2 These terms may be amended for future registrations. The terms in force at the time of registration apply to that registration.

14. Governing Law

14.1 These terms are governed by the laws of Québec.

14.2 Any clause found invalid or unenforceable shall be deemed severed without affecting the validity of the remaining clauses.

14.3 The judicial district of Montréal is designated for any proceedings.

Your rights: you may cancel this contract at any time. If the program has not started, no fee may be charged. If it has started, you owe the price of sessions already held plus a penalty not exceeding the lesser of $50 or 10% of the price of sessions not held. Cancellation takes effect when this form is sent. The merchant has 10 days from sending to refund you. We recommend sending it by email with read receipt or by registered mail.
